Administrative Assistant

Job Summary

Reporting directly to the CEO the Administrative Assistant is responsible for ensuring the everyday functions of the organization run smoothly and manages the Board of Directors meeting minutes, documents, and communication.

Salary

$21 - $22/hr , DOE

Essential Functions and Responsibilities

Board & Committees:

  • Send meeting reminder messages to participants, keep track of rsvp’s, and
    communicate list of attendees to CEO
  • Take meeting minutes
  • Keep track of meeting attendance
  • Combine meeting materials into one pdf file
  • Order food for in-person meetings
  • Secure venue for any in-person meetings
  • Obtain signatures for meeting minutes and other key documents
  • Launch meeting availability polls

Administrative:

  • Maintain and distribute appropriately all incoming emails from the general organization email
  • Sort, date, and distribution mail appropriately
  • Distributing interoffice mail between two sites
  • Coordinate the CEO’s calendar
  • Order office supplies
  • Update staff contact list
  • Create pdf fillable forms
  • Submit work orders through the building management portal
  • Order and maintain postage
  • Distribute parking validations to guests
  • Take all-staff meeting minutes
  • Make travel arrangements as necessary
  • Draft letters for CEO to review

Qualifications

  • Minimum 2-3 years of relevant experience
  • Aptitude and skill in exercising initiative, good judgement, and discretion;
  • Must possess strong customer service skills;
  • Have strong written and verbal communication skills;
  • Ability to multi-task, prioritize effectively, and complete work accurately despite a fastpaced and evolving environment;
  • Strong interpersonal skills to establish and maintain effective working relationships with a diverse group of internal and external individuals;
  • Ability to perform assigned duties with minimal supervision;
  • Ability to identify problems and recommend solutions;
  • Must be proficient in the use of Microsoft Office applications;
  • Ability to address sensitive issues with tact and diplomacy;
  • Ability to adhere to HIPAA regulations
